Fewer no-shows: appointment reminders on WhatsApp that people actually read
Clinics, salons, coaching centres, consultants and property teams all lose time to missed appointments. Email reminders get buried and SMS gets ignored. A WhatsApp reminder that lets the customer confirm or reschedule with one tap works far better.
Why people miss appointments
- They simply forgot — the booking was made days or weeks ago.
- Plans changed, and cancelling felt like more effort than not turning up.
- They weren’t sure of the address, timing or what to bring.
A good reminder solves all three.
The reminder sequence that works
- Right after booking: a confirmation with date, time, address and a map link.
- The day before: a reminder with buttons — “Confirm”, “Reschedule”.
- A couple of hours before: a short nudge with directions or the meeting link.
- After the visit: a thank-you, and the next step (feedback, follow-up booking, invoice).
Make rescheduling easy
It sounds backwards, but making it easy to reschedule reduces no-shows. A customer who taps “Reschedule” gives you the slot back to fill; one who feels awkward about cancelling just doesn’t come. Send the booking link or let a team member pick it up in the inbox.
Keep it within the rules
Reminders sent outside the 24-hour window must use approved templates — appointment reminders are usually a utility template. Keep them factual: no promotions mixed in, or Meta may treat them as marketing.
How Clio does it
Clio connects to Calendly, so every booking arrives as an appointment linked to the customer’s contact record. A workflow sends the confirmation and timed WhatsApp reminders, and replies like “I need to reschedule” land in the shared inbox for your front desk. See how clinics and education teams use it.
