Workflow automation

Workflow automation for WhatsApp, Instagram and your data.

Clio’s workflow builder lets you automate customer conversations without writing code. A workflow is a trigger and a set of steps on a visual canvas: when something happens — a message, a new spreadsheet row, a webhook, a reminder — Clio runs the steps in order, branches on conditions, and can pause until the customer replies.

Triggers

Start a workflow when a WhatsApp message or Instagram DM arrives, a row is added to Google Sheets, another system calls the workflow’s webhook, a scheduled reminder falls due, or someone runs it by hand.

Messaging steps

Send WhatsApp text or approved templates, Instagram text or saved messages, and replies with tappable options — each option gets its own branch.

Control flow

Conditions with match-all or match-any rules, delays, wait-for-reply with a timeout, and end-flow. Runs are resumable: a paused run keeps its variables.

CRM steps

Add labels, set or read custom contact fields, and hand the conversation to a person. Everything a workflow learns lands in the CRM.

AI steps

Ask an AI assistant, search your knowledge base, or assign the conversation to an assistant — with a human hand-off when it’s needed.

Integration steps

Append to Google Sheets, look up Shopify or WooCommerce orders, create CRM leads and Freshdesk tickets, send Calendly booking links, create Google Meet links, and more. See all integrations.

Product

Watch a workflow execute, step by step.

This is the same engine that runs inside Clio: a trigger fires, a condition branches, and each step completes in order — live, with nothing scripted about which branch runs.

Definition

How does workflow automation work?

Workflow automation runs a defined sequence of steps whenever a trigger event happens. In Clio, each run is recorded step by step, protected against duplicates — a retried job or a redelivered webhook runs once, not twice — and visible in the run history, so you can see exactly what was sent and why.

  1. 1

Start from scratch or a ready-made workflow

Ready-made workflows cover order status, order confirmations, capturing enquiries as CRM leads, support tickets, booking links, instant video calls and invoice lookups.

  2. 2

    Simulate before going live

Test mode runs the workflow against sample input so you can check each branch before a real customer sees it.

  3. 3

    Change with confidence

Every saved change is kept in version history. Restore an earlier version if a change doesn’t work out.

Workflow questions

Questions about workflow automation

Do I need to code to build a workflow in Clio?

No. Workflows are built on a visual canvas by choosing a trigger and adding steps. A “Run code” step exists for teams that want custom JavaScript, but it is optional.

Can a workflow wait for the customer to reply?

Yes. A wait-for-reply step pauses the run until the customer answers or a timeout passes, and each outcome has its own branch. The paused run keeps everything it has collected so far.

How many workflows can I run?

Active workflows depend on your plan: 3 on Starter (2 on monthly billing) and 5 on Growth. See Clio pricing for every plan’s limits.

Can Google Sheets trigger WhatsApp messages?

Yes. Connect a Google account, choose a spreadsheet tab, and each new row can start a workflow that sends a WhatsApp template. Replies and workflow events can be appended back to a sheet.

Your WhatsApp operation shouldn’t
depend on one person’s phone.
