7 WhatsApp follow-up messages that bring cold leads back
Most leads don’t say no — they just go quiet. A short, well-timed WhatsApp follow-up brings a surprising number of them back. Here are seven message ideas you can adapt, plus the rules that keep them on the right side of WhatsApp’s policies.
First, two ground rules
If the customer messaged you in the last 24 hours, you can send any of these as a normal reply. If not, the message has to go out as a Meta-approved template — so turn the ones you use often into templates ahead of time. And only follow up with people who contacted you or opted in; WhatsApp is personal, and an unwanted message costs you more than a missed sale.
1. The helpful nudge
“Hi Priya, just checking whether you had a chance to look at the quote. Happy to answer any questions — or adjust it if the quantity has changed.”
Short, specific, and it gives them an easy reason to reply.
2. The one-question follow-up
“Quick one — is this still something you’re planning for this month?”
Yes/no questions get answers. Even a “not now” tells you when to try again.
3. The useful extra
“Sharing a short video of how the product looks in use — thought it might help you decide.”
Adds value instead of just asking for a decision.
4. The objection opener
“Many customers ask about delivery time and returns before ordering — would it help if I explained ours?”
Names the common hesitation so they don’t have to.
5. The honest deadline
“The current price holds until Friday. Want me to reserve it for you?”
Only use a deadline that is real. Fake urgency gets you blocked.
6. The handover
“I’ve asked Rohan from our team, who handles bulk orders, to call you. What time works best?”
Sometimes the right next step is a person, not another message.
7. The polite close
“I’ll stop following up for now so I don’t crowd your chats. If you need anything later, just message here.”
Closing the loop respectfully keeps the door open — and often gets a reply on its own.
Timing that works
- First follow-up: the next day, while the conversation is fresh.
- Second: three to four days later, with something useful.
- Third: about a week later, the polite close.
- Stop immediately if they ask you to — and record the opt-out.
Doing this without a spreadsheet
In Clio you can build this sequence once in the workflow builder: send the follow-up, wait for a reply, stop as soon as the customer answers and notify the right person. Every lead keeps its history in the CRM, so the next salesperson knows exactly what was sent. For the full method, read how to automate WhatsApp lead follow-ups.
