The WhatsApp metrics that actually matter for a small business
Once WhatsApp becomes a real sales and support channel, “we get lots of messages” stops being enough. These are the numbers worth watching — and what to do when they move.
1. First-response time
How long a new customer waits for the first reply. It’s the single best predictor of whether an enquiry turns into a sale. Look at it by hour of the day and by teammate — slow evenings or one overloaded person show up immediately.
2. Unanswered conversations
Chats where the customer spoke last and nobody replied. This should be close to zero at the end of each day. If it isn’t, you need better assignment, not more effort.
3. Delivery and read rates on campaigns
Delivered tells you the number reached a phone; read tells you the message was opened. A low read rate usually means the wrong audience or the wrong time, not the wrong words.
4. Reply rate on campaigns
Reads are nice; replies are what you want. Quick-reply buttons and a single clear question lift reply rates more than anything else.
5. Opt-outs and blocks
The honest feedback channel. A spike after a campaign means the audience or frequency was off. Keep these low to protect your number’s quality rating.
6. Leads by source and outcome
Tag where each conversation started — an ad, Instagram, your website, a QR code — and how it ended. Over a month, this tells you which channels bring customers, not just messages.
7. Automation coverage
What share of conversations get a useful automated first reply, and how often a person has to step in. Rising coverage with steady customer satisfaction means your workflows are earning their keep.
A simple weekly routine
- Monday: check last week’s first-response time and unanswered chats.
- After each campaign: compare read and reply rates with the last one.
- Monthly: review leads by source and update your quick replies and workflows.
