How to manage Instagram DMs as a team.

To manage Instagram DMs as a team, switch to an Instagram professional account, connect it to a shared inbox through Meta’s Instagram API, and give each teammate their own login. Then automate the repetitive replies and plan around Instagram’s messaging rules, which are stricter than WhatsApp’s.

Why sharing the Instagram login doesn’t scale

Many brands start by sharing one Instagram password across the team. It creates the same problems every time: two people answering the same message, nobody sure who replied, no record of what was promised, and security risk every time someone leaves. A shared inbox gives each person their own access to the same conversations.

Step 1: use a professional account

Messaging tools connect through Meta’s Instagram API, which works with Instagram professional accounts (business or creator). Personal accounts can be switched in the Instagram app’s settings.

Step 2: connect it to a shared inbox

Connect the account to your messaging platform so DMs arrive in one inbox your whole team can see. If you also sell on WhatsApp, keeping both channels in the same inbox means one customer history, whichever channel they used.

Step 3: automate the questions you answer every day

Sizes, prices, shipping, timings, “is this available?” — most Instagram DMs are the same dozen questions. Answer them automatically, offer quick-reply options for the common paths, and pass anything else to a person.

Know Instagram’s limits

  • 24-hour window. Businesses can reply freely for 24 hours after the customer’s last message.
  • No reopening. Unlike WhatsApp, there is no approved-template mechanism to restart a closed Instagram conversation — the customer has to write again.
  • No cold outreach or broadcasts. You can only message people who messaged you first.
  • Read receipts only. Instagram reports when a message is read, not when it is delivered.

The practical lesson: reply fast, and move customers who need follow-up to a channel that allows it — for example, ask for their WhatsApp number while the conversation is open.
