What is a WhatsApp CRM, and does your business need one?

By the Clio team ·

A WhatsApp CRM is customer relationship management software that works directly on WhatsApp conversations. It lets a team share one WhatsApp Business number, keeps every customer’s history and details in one record, and automates follow-ups — instead of running sales and support from one employee’s phone and a spreadsheet.

Why businesses outgrow the WhatsApp app

Most small businesses start on WhatsApp the simple way: the owner or one salesperson answers from their phone. It works until it doesn’t. Messages arrive while that person is busy, nobody else can see the conversation, and customer details end up split between chat history, a notebook and a spreadsheet. When an employee leaves, their chats — and the relationships in them — can leave too.

A WhatsApp CRM fixes the structure rather than the symptoms. The number is connected to software through Meta’s WhatsApp Business Platform, so conversations live in a system your whole team can use, not on a single device.

What a WhatsApp CRM does

  • Shared inbox. Several people answer from the same number, each with their own login and permissions.
  • Customer records. Every contact has one history, with labels, custom fields and notes.
  • Automation. Workflows answer common questions, qualify leads and send follow-ups without someone typing each one.
  • Campaigns. Approved templates can be sent to groups of opted-in customers.
  • Reporting. Delivery, read rates and response activity show what is working.

WhatsApp CRM vs a traditional CRM

A traditional CRM is built around records — deals, companies, pipelines — and treats messages as something you log afterwards. A WhatsApp CRM starts from the conversation: the chat is where the record is created and updated. For businesses whose customers mostly message rather than email or call, that difference decides whether the CRM actually gets used. Many teams run both: WhatsApp for the conversation, and a sales CRM such as Zoho CRM, Salesforce or Kylas for the pipeline, connected so leads flow across automatically.

What you need before you start

A proper WhatsApp CRM connects through Meta’s official WhatsApp Business Platform (the Cloud API). That usually means a verified Meta Business Portfolio and an eligible WhatsApp Business Account and phone number. A number connected to the platform is used through the software rather than the WhatsApp app on a phone. Meta also sets the rules the CRM has to follow: free-form replies only within 24 hours of the customer’s last message, and Meta-approved templates for anything the business sends first.

Signs your business is ready for one

  • More than one person needs to reply to WhatsApp customers.
  • Leads go cold because nobody followed up in time.
  • You are copying details from chats into a spreadsheet by hand.
  • You want to message past customers without risking your number with unofficial tools.
