WhatsApp Business app vs WhatsApp Business API: which does your business need?
The WhatsApp Business app is a free phone app for one business owner to chat with customers. The WhatsApp Business Platform — usually called the API, and offered by Meta as the Cloud API — connects your number to software, so a team can share it, automate replies and send approved templates at scale. Small, owner-run businesses often start with the app; teams move to the API when one phone is no longer enough.
The WhatsApp Business app
The app runs on a phone (with linked devices for a few extra screens). It includes a business profile, a product catalogue, labels, quick replies and simple automatic greetings. It is free and takes minutes to set up. Its limits show as you grow: it is built for a small number of people, it doesn’t connect to your CRM or other systems, and automation is limited to basic greetings and away messages.
The WhatsApp Business Platform (Cloud API)
The platform has no app of its own. Instead, your number is connected to a software provider’s product — a shared inbox, CRM or automation tool — through Meta’s Cloud API. That unlocks:
- Many team members working the same number, each with their own login.
- Workflows that reply, qualify, route and follow up automatically.
- Approved message templates for messages the business sends first, including campaigns to opted-in customers.
- Connections to spreadsheets, stores, CRMs and your own systems.
The trade-offs: you need a verified Meta Business Portfolio and an eligible number; a number on the platform is used through the software rather than the phone app; and Meta charges for messages according to its published rates.

How to decide
Stay on the app if one person handles every conversation and volume is manageable. Move to the platform when several people need to reply, leads are slipping through, or you want to automate follow-ups and campaigns without resorting to unofficial tools — which break WhatsApp’s terms and put your number at risk.
